These Terms and Conditions govern your access to and use of the Urology Oral Boards Coach website, application, beta trial, paid subscription features, dictation tools, practice cases, feedback, scoring, and related services.
By creating an account, accessing the beta trial, using the Coach, or purchasing a subscription, you agree to these Terms and to the Privacy Notice. If you do not agree, do not create an account, purchase a subscription, or use the service.
These Terms are intended for beta and early commercial use and should be reviewed by qualified legal counsel before broad public launch.
1. Educational Board-Preparation Tool Only
The Coach is an educational board-preparation tool. It is designed to help users practice oral-board style organization, clinical reasoning, communication, complication management, and case presentation.
The Coach is not medical advice, clinical decision support, diagnosis, treatment guidance, professional supervision, or a substitute for independent physician judgment.
You are solely responsible for your own clinical decisions, examination preparation, professional conduct, and compliance with applicable laws, institutional rules, and licensing obligations.
2. No Patient Care Use
You may not use the service to make, confirm, or replace decisions for actual patient care.
You may not rely on the Coach for diagnosis, treatment, triage, surgical planning, medication selection, emergency management, or patient counseling for a real patient.
The cases are simulated and intended only for education and rehearsal.
3. No Patient-Identifiable Information
Do not enter patient names, medical record numbers, dates of birth, addresses, phone numbers, photographs, imaging containing identifiers, institutional identifiers, or any other patient-identifiable information.
All practice answers, dictation, feedback, and issue reports must be educational and de-identified.
If you enter patient-identifiable information despite this restriction, you are responsible for that disclosure and any resulting obligations.
4. Eligibility
You must be legally able to enter into these Terms.
The service is intended for physicians, residents, fellows, medical trainees, and other appropriate medical professionals or learners using it for educational preparation.
We may refuse registration, restrict access, or terminate accounts at our discretion, including for suspected abuse, security concerns, false information, or violation of these Terms.
5. Account Registration and Security
You must provide accurate registration information and keep it updated.
You are responsible for maintaining the confidentiality of your password and account access.
You are responsible for all activity that occurs under your account.
Notify us promptly if you believe your account has been compromised.
6. Individual Use and Device Limits
Accounts are for individual use only. You may not share, sell, rent, sublicense, transfer, or allow others to use your account.
The service may limit the number of active devices per account. If you exceed the device limit, you may need to unregister one device before using another.
Credential sharing, group use of one account, account resale, and pooled access are prohibited.
7. Beta Trial Access
Beta access is invite-only and may require a valid access code.
The beta trial is a one-time trial. You may not create multiple accounts, use multiple email addresses, use another person's identity, or otherwise attempt to obtain repeated trials.
Trial access may expire automatically after the stated trial period.
During beta, paid billing may be paused. Beta users are not automatically charged unless paid billing is enabled and the user completes a paid checkout flow.
Beta features, pricing, usage limits, availability, and content may change without notice.
8. No VPN, Proxy, or Trial Abuse
You may not use VPNs, proxies, Tor, datacenter networks, anonymizing relays, automated scripts, synthetic identities, disposable email systems, or similar methods to bypass trial limits, invite limits, device limits, rate limits, geographic controls, fraud controls, or abuse prevention systems.
We may deny signup, suspend access, terminate accounts, revoke trial access, or block traffic that appears to violate these controls.
9. Subscriptions, Billing, and Renewal
If paid subscriptions are enabled, available plans, prices, included usage estimates, billing intervals, trial terms, and subscription details will be displayed on the Pricing and checkout pages.
By completing a paid checkout, you authorize the applicable payment processor to charge the selected payment method for the selected plan and any recurring renewals, unless canceled in accordance with the cancellation process.
Subscription plans are intended for focused educational use by one account holder.
We do not store full payment-card numbers in the application. Payment information is processed by a third-party payment provider.
10. Cancellation and Refunds
If paid subscriptions are enabled, you may cancel through the billing management flow provided by the service or payment processor.
We will aim to make cancellation reasonably accessible from within the account, profile, billing, or pricing flow.
Unless otherwise stated at checkout or required by law, fees are non-refundable and cancellation stops future renewal rather than refunding the current billing period.
We may provide discretionary credits, extensions, or refunds, but doing so once does not require us to do so again.
11. Usage Estimates, Limits, and Availability
Usage estimates shown on the Pricing page are planning guardrails for normal focused oral-board practice. They are not a promise of unlimited automated use.
We may apply reasonable limits to examiner turns, dictation, concurrent sessions, API calls, rate of requests, devices, and other usage in order to maintain service quality, control costs, and prevent abuse.
The service may temporarily delay, queue, throttle, or reject requests during high demand, provider outages, suspicious activity, or technical problems.
12. AI-Generated Educational Content
The Coach uses AI-assisted systems and physician-authored educational frameworks to generate practice cases, examiner prompts, feedback, scoring, and dictation transcripts.
AI-generated content may be incomplete, inaccurate, outdated, overconfident, internally inconsistent, or poorly phrased.
You should independently verify medical facts, guideline interpretations, board-preparation points, and clinical concepts using appropriate professional sources.
Feedback and scoring are educational estimates only. They are not official examination scores and are not predictions of pass or fail status.
13. Dictation and Speech-to-Text
If dictation is available, it is provided for convenience and may be inaccurate, especially for names, acronyms, drug names, operative terminology, or uncommon medical phrases.
You are responsible for reviewing and editing dictated text before submitting it to the examiner.
Do not dictate patient-identifiable information.
14. Intellectual Property Ownership
The service and all related materials are owned by Sohrab Arora, MD or licensed for use in the service. This includes the website, application, user interface, branding, prompts, workflows, software, source code, databases, educational frameworks, case structures, case trees, rubrics, scoring systems, topic maps, hidden examiner guides, curated notes, text, layout, and other content.
Except for the limited personal educational license described below, no rights are transferred to you.
All rights not expressly granted are reserved.
15. Limited Personal Educational License
Subject to these Terms, we grant you a limited, revocable, non-exclusive, non-transferable, non-sublicensable license to access and use the service for your own personal educational board preparation.
You may keep your own notes from your own practice sessions for personal study.
You may not reproduce, publish, distribute, sell, sublicense, or commercialize service content or hidden app materials.
16. Prohibited Extraction and Competitive Use
You may not:
- scrape, crawl, spider, harvest, or bulk-download content
- copy, export, mirror, or archive substantial portions of the service
- reverse engineer, decompile, inspect, or bypass technical controls
- extract hidden prompts, system messages, internal frameworks, case bibles, rubrics, scoring logic, or source materials
- use automated tools to query, benchmark, or mine the service
- use service outputs to train, fine-tune, evaluate, benchmark, or improve another AI system
- use the service to build, improve, market, or operate a competing product
- remove copyright, trademark, attribution, security, or proprietary notices
- attempt to access data or systems that are not intentionally made available to your account
These restrictions apply even if the content is visible to you during normal use.
17. User Content and Feedback
You retain responsibility for the content you type, dictate, upload, submit, or transmit through the service.
You represent that you have the right to submit that content and that it does not contain patient-identifiable information, unlawful material, confidential third-party information, or material that infringes another person's rights.
By submitting practice answers, issue reports, feedback, suggestions, corrections, or other content, you grant us a worldwide, non-exclusive, royalty-free license to use, reproduce, store, analyze, modify, display, and process that content for operating, securing, troubleshooting, improving, and evaluating the service.
Feedback, suggestions, bug reports, and feature ideas may be used without compensation or attribution.
18. Acceptable Use
You agree not to:
- use the service for real-time patient care decisions
- enter patient-identifiable information
- share login credentials or use another person's account
- bypass or attempt to bypass security, device, usage, trial, rate, invite, or billing controls
- use VPNs, proxies, Tor, disposable identities, or automated scripts to abuse the beta or trial
- scrape, crawl, reverse engineer, extract, or copy hidden app content
- attack, probe, overload, interfere with, or disrupt the service
- upload malware, malicious content, or code
- submit unlawful, defamatory, harassing, abusive, discriminatory, or infringing content
- impersonate another person or misrepresent your affiliation
- falsely suggest that the product is affiliated with or endorsed by any certifying, professional, guideline, or textbook organization
- use the service to create, train, evaluate, or improve a competing product
19. Security and Monitoring
We may monitor usage, log security events, apply rate limits, record device information, and use abuse-prevention tools to protect the service and enforce these Terms.
We may investigate suspected violations and cooperate with service providers, payment processors, hosting providers, or legal authorities when appropriate.
20. Third-Party Services
The service may rely on third-party providers for hosting, payment processing, AI generation, speech-to-text, authentication, security, analytics, monitoring, email, or related functions.
Your use of the service may involve processing by those providers as described in the Privacy Notice and their applicable terms.
We are not responsible for third-party outages, errors, security incidents, or policy changes, but we will make reasonable efforts to maintain service continuity.
21. No Affiliation or Endorsement
The service is not affiliated with, endorsed by, sponsored by, or approved by any certifying, professional, guideline, textbook, academic, hospital, or governmental organization unless expressly stated in writing.
Names of examinations, boards, professional organizations, guidelines, or textbooks may be used only descriptively.
22. Availability, Beta Changes, and Discontinuation
The service is provided on an evolving basis, especially during beta.
Features, content, pricing, usage limits, AI providers, supported browsers, security controls, and availability may change.
We may pause, modify, suspend, or discontinue the service in whole or in part at any time.
23. Account Suspension and Termination
We may suspend or terminate access if we believe an account violates these Terms, creates legal or security risk, abuses beta access, shares credentials, attempts unauthorized extraction, misuses the service, or interferes with operations.
Termination may result in loss of access to practice sessions, account data, beta access, or subscription features, subject to applicable law and the Privacy Notice.
You may stop using the service at any time.
24. Disclaimers
The service is provided "as is" and "as available."
We do not guarantee that the service will be uninterrupted, error-free, secure, accurate, complete, current, or suitable for any particular purpose.
We do not guarantee any examination outcome, certification result, clinical result, professional result, academic result, or financial result.
To the extent permitted by law, all warranties, whether express, implied, statutory, or otherwise, are disclaimed, including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement.
25. Limitation of Liability
To the maximum extent permitted by law, Sohrab Arora, MD and the service operators, contractors, vendors, and affiliates are not liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including lost profits, lost data, lost opportunities, examination outcomes, professional consequences, clinical reliance, business interruption, reputational harm, or reliance on AI-generated educational content.
To the maximum extent permitted by law, the total liability arising out of or relating to the service is limited to the amount you paid for the service in the three months before the event giving rise to the claim, or one hundred dollars if you have not paid for the service.
Some jurisdictions do not allow certain limitations, so some limitations may not apply to you.
26. Indemnification
You agree to defend, indemnify, and hold harmless Sohrab Arora, MD and the service operators, contractors, vendors, and affiliates from claims, damages, liabilities, losses, costs, and expenses arising from your use of the service, your violation of these Terms, your submitted content, your entry of patient-identifiable information, your misuse of AI-generated content, or your infringement of another person's rights.
27. Copyright Complaints
If you believe material on the service infringes your copyright, contact us with sufficient information to identify the copyrighted work, the allegedly infringing material, your contact information, and a statement that you have a good-faith belief that the use is unauthorized.
We may remove or disable access to allegedly infringing material and may terminate repeat infringers when appropriate.
28. Governing Law and Venue
These Terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules, unless applicable law requires otherwise.
Subject to any mandatory consumer protection rules that apply, disputes will be handled in the state or federal courts located in Texas.
29. Changes to These Terms
We may update these Terms as the product evolves. Updated Terms will be posted on this page with a new effective date or version.
For material changes, we may require renewed acceptance before continued use.
Continued use of the service after updated Terms are posted means you accept the updated Terms.
